Project Information

Greetings Project Team

Shive-Hattery has integrated project information applications called Autodesk Forma (Forma) and Egnyte for project collaboration and project information management.

As an external team member, you may receive user invitations for Forma or Egnyte depending on your project role with our Shive-Hattery project. Both applications are cloud-based applications to download files via any Internet-capable computer running Internet Explorer. Depending on your access rights, you may also choose to upload your files to the project team through these applications. Live collaboration on files or project items is also available depending on project roles and permissions. A benefit of these applications is that they allow the project team to bypass the file size limits of email systems when sharing and transferring files. In addition, all data uploaded or downloaded through Forma and Egnyte is encrypted and logged; notifications and reminders can be optionally scheduled; and expiration dates for documents can be automatically set.

Important

An important part of these systems are Notification Emails: 

  • An Account Notification email is sent when a project member from your company is added to our systems in advance of upcoming document availability. 
  • Notification Emails are sent according to user preferences, or project preferences when documents or project items are available. 
  • A Transmittal Notification email is sent to notify the project member when project documents become available.

Please note that some email anti-spam systems may flag the account notification email as junk mail; please ask your IT administrator to add the following websites, domains, and email addresses to your company’s anti-spam whitelist.

The steps required for team members to use these transmittal and file sharing solution are quite simple; the following is a summary of what to expect and what steps to take upon receipt of both an Account Notification email and a Transmittal Notification email.

Project Invitations

Project Administrators from Shive-Hattery (Project Manager, Project Coordinator, and Core Team Members) manage the internal and external team members for our Forma and Egnyte projects. Invitations will be sent to team members’ company email address. Forma Build Licenses will be provided for Construction Contract Administration. Licensing for other features will depend on the external team members’ subscriptions.

If an invitation needs to be resent, or additional team members added, please contact these team members.

For External Team Members Shive-Hattery has several role options to provide flexibility of data permissions for our external partners during Construction Contract Administration. 

  • Owner – Design Collaboration Role 
  • Contractor – Design Collaboration Role 
  • Consultant – Design Collaboration Role 
  • Subcontractor – Create submittal or RFI for General Contractor review. 
  • Owner Viewer – Owner visibility of closed construction items. 
  • Owner CCA – Owner actions for CCA items, change orders, pay apps. 
  • Contractor Submittal Manager – GC Submittal Manager 
  • Contractor RFI – GC RFI Manager + Submittals 
  • Contractor CCA – GC Contract Change, Pay, RFI, and Submittals 
  • Consultant Sub Review – Submittal review. 
  • Consultant RFI – Consultant RFI Review 
  • Consultant CM Review – Consultant review of change orders or pay. 

Egnyte File Transfers 

When File Transfers are Shared and sent through Egnyte, the users will receive an email notification with a link to the file(s). Once the link for the file is used a separate email is sent including a unique access code. Enter the access code to authenticate and view your file. 

Be sure to check your spam/junk folder and to your IT department whitelist the email addresses and websites above.
